Tip 1: Designate a Trip Leader
Every group needs one person who makes the final call on logistics — departure time, hotel check-in, meal stops, and itinerary changes. Too many opinions without a decision-maker leads to paralysis. The trip leader doesn't have to plan everything alone, but they need the authority to break ties.
Tip 2: Lock the Budget Early
Before you decide where to go, decide how much everyone is willing to spend. Transport + hotel + food + activities = total budget per person. Being upfront about money prevents awkward conversations later. Our tip: use the per-km rate and expected km to calculate transport cost, then share it before booking.
Tip 3: Choose the Right Vehicle Size
Always book 1-2 seats more than your actual group size. A 12-seater for 10 people is comfortable. A 12-seater for 12 people with heavy luggage is tight. The extra space for bags, snacks, and stretching makes a big difference on long drives.
Tip 4: Start Early, Arrive Happy
For outstation trips from Delhi, we always recommend a 5-6 AM departure. You beat the city traffic, cover more highway distance in cool morning hours, and arrive at the destination with daylight to spare. Groups that leave at 10 AM often arrive late, tired, and with a wasted evening.
Tip 5: Build in Buffer Time
Traffic, weather, and group dynamics are unpredictable. If Google says 6 hours, plan for 7-8. If you want to visit 4 sights, plan for 3 and keep the 4th as a bonus. The best group trips are the ones where no one feels rushed.
Tip 6: Plan Your Meals

Soft bags over hard suitcases — they stack better in the luggage area. Carry a small day bag with essentials (phone charger, water, snacks, medicine) that stays with you in the cabin. Keep heavy luggage in the back compartment.
Tip 9: Respect the Driver
Your driver is a professional doing a demanding job. Be polite, don't ask them to over-speed, give them meal breaks, and respect the night-driving limits. A well-treated driver goes the extra mile (literally) to make your trip special. Many of our returning customers specifically request the same driver.
Tip 10: Collect Money Before, Not After
The golden rule of group travel: collect everyone's share before the trip. Chasing people for money afterwards is awkward and often unsuccessful. Use a Google Pay or Paytm collect request — it's the cleanest way to pool funds.
